This Privacy Policy explains how we collect, use, process, store, share and protect personal information when businesses use Qiyadah ERP and its integrated services, including the WhatsApp Business integration, and when individuals communicate with businesses through these services.

Depending on the features and integrations used, Qiyadah ERP may collect or process the following categories of information.

2.1 Account and Business Information

• Email addresses and phone numbers
• Account credentials and access permissions

• Information submitted when registering for or using our services

2.2 ERP and Business Records

Authorized users may enter or upload business-related information, including:

• Invoices and payment information
• Inventory and stock records
• Workshop and repair-related records

• Orders and other operational records

The information processed depends on the ERP modules and features enabled by the business.

2.3 WhatsApp Business Integration Information

When a business connects its WhatsApp Business Account to Qiyadah ERP, we may process:

• WhatsApp Business Account identifiers
• Meta Business Portfolio identifiers
• Connected WhatsApp business phone numbers and phone-number identifiers
• Verified business names
• WhatsApp account connection and authorization status
• Authorization credentials and associated expiry information
• Approved message template names and languages
• Message identifiers and delivery information

Authorization credentials are handled on the server and are not intended to be displayed in the messaging interface.

2.4 WhatsApp Messages and Communication Records

When businesses use WhatsApp messaging features, we may process:

• Customer and recipient phone numbers
• Incoming and outgoing message content
• Message templates and related information
• Message timestamps
• Delivery, read and failure statuses
• Incoming webhook events
• Customer replies
• Opt-out and unsubscribe records
• Message request and operational logs

Connecting a WhatsApp Business Account does not give Qiyadah ERP access to unrelated private WhatsApp conversations or a person's entire phone address book.

2.5 Technical and Security Information

We may process information necessary to maintain and protect the service, including:

• User authentication and access records
• Connection and integration activity
• Operational logs
• Error and troubleshooting information
• Message request records
• Security-related events

3. How We Use Information

We process information to provide, operate, maintain and improve Qiyadah ERP and its integrated business services.

This includes:

• Creating and managing user accounts.
• Providing ERP modules and business management functions.
• Managing customer, supplier, employee and operational records.
• Connecting authorized WhatsApp Business Accounts.
• Retrieving approved WhatsApp message templates.
• Sending messages requested by authorized business users.
• Receiving and displaying customer replies.
• Displaying message delivery, read and failure statuses.
• Recording and applying customer communication opt-outs.
• Providing technical assistance and troubleshooting.
• Maintaining service security and preventing unauthorized activity.
• Complying with applicable legal obligations.

Businesses using Qiyadah ERP are responsible for ensuring that they have the necessary permissions, notices and lawful grounds to process information they provide and to initiate communications with their customers.

Connecting a WhatsApp Business Account does not, by itself, initiate messages or campaigns.

4. WhatsApp Business API and Meta Integration

Qiyadah ERP allows authorized businesses to connect their WhatsApp Business Accounts through Meta's supported integration processes.

When a business authorizes the connection, Qiyadah ERP may receive the account information, identifiers and authorization credentials required to provide WhatsApp messaging functionality.

These permissions are used to support authorized business activities, including:

• Connecting and managing WhatsApp Business Accounts
• Accessing approved message templates
• Sending WhatsApp messages
• Receiving customer messages and replies
• Processing delivery and message status updates
• Managing messaging preferences and opt-outs

When a business sends a WhatsApp message, the recipient's phone number and the relevant message or template information are transmitted to Meta/WhatsApp for processing and delivery.

Incoming messages and delivery events may be transmitted back to Qiyadah ERP through authorized webhook integrations.

Meta and WhatsApp process information under their applicable terms and privacy notices.

5. WhatsApp Messaging and Customer Consent

Businesses using Qiyadah ERP are responsible for obtaining appropriate customer consent and complying with applicable WhatsApp Business Messaging policies and data protection requirements.

Qiyadah ERP is intended to support authorized business communications, including:

• Customer service notifications
• Order and booking updates
• Invoice notifications
• Payment reminders
• Transaction-related communications
• Customer support messages
• Other permitted business communications

Where required, businesses must use approved WhatsApp message templates and respect applicable messaging restrictions.

Recipients may request that a business stop sending them messages.

The WhatsApp integration supports recognition of designated unsubscribe messages, such as STOP, and records applicable opt-out information.

Businesses must respect opt-out requests and should not continue sending communications that violate applicable consent requirements or messaging policies.

6. Information Sharing and Third-Party Services

We may share or transmit information when necessary to provide Qiyadah ERP and its integrations.

6.1 Meta and WhatsApp

WhatsApp messaging information is shared with Meta/WhatsApp to enable messaging, account management and related integration functions.

6.2 Hosting and Infrastructure Providers

Authorized hosting and infrastructure service providers may process information on our behalf as necessary to operate, maintain, secure and support Qiyadah ERP.

6.3 Authorized Business Users

Information stored within Qiyadah ERP may be accessible to authorized users of the relevant business, subject to applicable account permissions and access controls.

6.4 Legal and Security Requirements

We may disclose information where reasonably necessary to:

• Comply with applicable laws or legal processes
• Respond to valid requests from competent authorities
• Investigate suspected fraud or misuse

Access to information is intended to be limited to authorized users and personnel according to their responsibilities.

Although we take reasonable measures to protect information, no electronic storage or transmission system can guarantee absolute security.

8. Data Retention

We retain information for as long as reasonably necessary to provide our services, fulfill the purposes described in this Privacy Policy, comply with applicable legal obligations and address legitimate security or operational requirements.

Retention depends on factors such as:

Business records, WhatsApp message history, webhook events, operational logs and backup information may be subject to different retention requirements.

Disconnecting a WhatsApp Business Account does not automatically delete all previously stored messages or business records.

Users may request deletion of eligible information in accordance with the process described below.

9. Your Privacy Rights and Choices

Depending on applicable law, individuals may have rights relating to personal information, including the ability to:

• Request correction of inaccurate information
• Request deletion of eligible information

Do not send passwords, access tokens, verification PINs or unnecessary identity documents.

We may request additional information reasonably necessary to verify identity and authority before processing a request.

Where a business using Qiyadah ERP controls the relevant customer or employee information, we may need to coordinate with that business.

Some information may need to be retained to satisfy legal requirements, protect legitimate interests or resolve disputes.

10. WhatsApp Account Disconnection and Authorization Revocation

Authorized business owners may disconnect their WhatsApp Business Account from Qiyadah ERP through the available integration settings.

Businesses may also revoke the application's authorization through their Meta Business Settings.

Disconnecting the integration is intended to stop Qiyadah ERP from using that connection to send or receive WhatsApp messages.

However, disconnecting a WhatsApp account is separate from deleting previously stored business records, message history and related operational information.

Businesses wishing to request removal of stored information should follow the data deletion process described in this policy.

11. Data Deletion Instructions

Businesses and individuals may request deletion of eligible personal information processed through Qiyadah ERP.

How to Submit a Data Deletion Request

Include:

• Business or account name
• Registered account email address or relevant WhatsApp number
• Description of the information you want deleted

Step 3: Verification

We will review the request and may verify your identity or authority to request deletion of the relevant information.

If the data is controlled by a business using Qiyadah ERP, we may need to coordinate with that business.

Step 4: Processing

After verification, we will assess and process eligible deletion requests in accordance with applicable legal obligations and operational requirements.

Where information cannot be deleted because of a legitimate legal or operational requirement, we will explain the applicable limitation when responding.

Important Information About WhatsApp Data

Deleting information stored by Qiyadah ERP does not automatically delete:

• Messages already delivered to recipients' devices
• Information independently stored or controlled by Meta/WhatsApp
• Information retained by other participants in a conversation
• Records that must be retained under applicable law

Revoking WhatsApp authorization or disconnecting the integration is not the same as requesting deletion of stored message history.

12. Business Responsibilities

Businesses using Qiyadah ERP are responsible for the information they enter, upload and process through their accounts.

Businesses must ensure that:

• Personal information is collected and used lawfully.
• Required privacy notices are provided to customers, employees and other individuals.
• Appropriate consent or other lawful authorization is obtained where required.
• WhatsApp communications comply with applicable Meta and WhatsApp policies.
• Customer opt-out requests are respected.
• Access to Qiyadah ERP is limited to authorized personnel.
• Business records are managed in accordance with applicable legal obligations.

We may assist businesses with privacy and data-related requests where reasonably necessary and technically supported.

13. Changes to This Privacy Policy

We may update this Privacy Policy periodically to reflect changes in our services, integrations, operational practices or applicable legal requirements.

When changes are made, the updated policy will be published with a revised effective date or last-updated date.

We encourage businesses and users to review this Privacy Policy periodically.
